Long-term rental for self-employed professionals: how to choose car, duration and services
Lawyers, doctors, architects, consultants: how to set up a long-term rental tailored to your business, from real mileage to included services, with no surprises at the end of the contract.
For a self-employed professional, a car is a work tool: client visits, site inspections, hearings, business trips. The long-term rental turns a demanding purchase into a fixed monthly fee, with insurance, maintenance and assistance already included. To really make the most of it, however, it must be built around your business and not the price list.
Start from real mileage, not estimated mileage
The most common mistake is choosing an annual mileage "by feel". Take the data from the last year: diary, business trips, mileage reimbursements, services. Add a prudent margin if your business is growing. Too low a mileage is paid at the end of the contract with excess kilometres; too high a mileage is paid every month with a monthly fee higher than necessary.
Choose the duration based on how your work will change
- 24-36 months: for those who expect changes (new office, partnership with colleagues, relocation) or want to change cars often.
- 48 months: the most widespread compromise between monthly fee and flexibility.
- 60 months: lower monthly fee, suitable for those with a stable business and regular mileage.
The right car for your image and for mileage
- Hybrid: ideal for those who move a lot in the city and between urban centres, with low consumption and easier access to restricted traffic zones in many municipalities.
- Electric: convenient if you have charging at your office or at home and predictable routes.
- Diesel or petrol: still sensible for those who do many motorway kilometres.
- Segment and trim: a well-kept and comfortable car is part of your professional image, but every optional weighs on the monthly fee for the whole duration.
The services to check in the contract
- Insurance: third-party liability limits, kasko or damage, theft and fire, and above all the excesses.
- Routine and extraordinary maintenance and a network of workshops close to where you work.
- Tyres: how many sets are included and whether they include winter tyres.
- Replacement car in the event of downtime: for those who work with their car it is often the most important service.
- Fines management and re-notification costs.
Tax: ask your accountant
For professionals, the deductibility of monthly fees and the VAT deduction follow specific rules, different from those for companies and linked to the actual use of the vehicle. Before signing, run a simulation with your accountant: it is the simplest way to correctly compare rental and purchase.
